Terms and Conditions

Please review our Terms & Conditions thoroughly before confirming your booking. These terms outline how Precision Pilates Studio delivers services and include essential information for your reference. As a small business, we rely on adherence to these conditions and kindly request that no exceptions be sought. Your understanding and cooperation are greatly appreciated.


1. CHANGING OR CANCELLING YOUR BOOKING
You may change or cancel your booking without charge, up to 24 hours before the start of any Mat based session or 5 days before the start of any Reformer session, that you have booked.

If you book onto a session or cancel a session within 24 hours (mat sessions) or 5 days (Reformer) of its scheduled start time, there is NO entitlement to change, cancel or refund and you will forfeit your session.

Drop in Classes - These are charged at the time of booking.  Should you cancel a “drop in” session (within the correct expiration period below) you will receive a CLASS or CASH CREDIT back onto your MOMENCE account to use against future bookings.

-We do not refund money back to your bank account or to the payment card that the session was booked with.

Class PASS Bookings - When you purchase a “CLASS PASS” you are purchasing a pack of “Credits” that sit on your Momence account and can be used to book future classes. 
-Class PASSES have an expiration period (please ensure you are aware of each expiration period before you make your purchase). 
-Any unused credits not used within the expiration period will be lost and can NOT be rolled over. 
-Please do not ask for an extension on the expiration period.  Any unused credits will expire.
-Classes booked with a class pass adhere to the same cancellation policy as below.

Mat Classes - have a 24 hour Cancellation Policy.
-Should you cancel prior to 24hours before your class/event you will receive a class credit back to your Momence account.
-Should you cancel with less than 24 hours notice before your class/event you will forfeit your booking.

Reformer Classes - have a 5 day Cancellation Policy.
-Should you cancel prior to 5 days before your class you will receive a class credit back to your Momence account.
-Should you cancel with less than 5 days notice you will forfeit your class booking.

Recurring Bookings - If you are booked into a class on a weekly recurring basis we are “reserving” a space for you in a specific class for the foreseeable future.
These future classes are held as “unpaid” and no credits have yet been taken from your Momence account.

7 days in advance of the class, Momence will take a “class credit” from your account.  Should you then cancel your class within the correct expiration period you will receive your class credit back onto your Momence account.

If you do not have enough “Class Credits” on your account 7 days before the start of the scheduled class, Momence will charge your card payment on file at the full “drop in” class rate.

Please note that if you are cancelling your recurring class more than 7 days in advance, a credit has not yet been taken from your account and therefore a credit is not owed back to you.

Should you wish to remove yourself out of an ongoing recurring class permanently then this needs to be requested via email who will remove you from the recurring class until further notice.  You do not need to cancel individual dates - we will do this for you.

-Monetary refunds are NOT offered for any booking.

-Should we refund in very “Special Circumstances” this will be at the discretion of Precision Pilates Studio and may result in a £10 admin fee.

-If a class / event / membership is being paid for by someone other than yourself, you are responsible for informing that person of our terms, payment and cancellation policies. 

2. MISSED SESSIONS / NO SHOWS
Should you not turn up to a class or an event you will not be offered a refund / class credit or catch up class. 
-It is good etiquette to cancel your session (even if it is a late cancellation) to allow other clients that might be on a waiting list the chance to attend.

3. STUDIO CLOSURE / CANCELLED CLASSES
In the event that we cancel a class / session / event due to unforeseen circumstances / staff sickness or minimum numbers not reached we will credit your account with your class / session credit.

Our minimum numbers to run a mat based class are 4 attendees.   Should we have less than 4 people booked into a class/ session  it is possible that Precision Pilates may cancel the session and offer you a class credit in return.  Reformer Classes are a minimum of 2 attendees.

We will make reasonable efforts to contact you by email / SMS or in-app notification to let you know.  It is therefore important that you ensure you are signed up to receive our transactional and marketing messages.

Should the studio be forced to stop face to face classes due to government restrictions we will offer Video on Demand classes or freeze any class credits that have been purchased until the studio is allowed to reopen.

4. PRIVATE 1:1 / 1:2 / 1:3 SESSIONS
These sessions are to be paid for in advance for the dates agreed. 
You will receive an invoice via email which can be paid via BACS payment and MUST be paid in full at least 24hours prior to the first session.

Should you have to cancel or do not turn up to a private session, Precision Pilates Studio are under no obligation to offer you a refund or re-arrange your session and you will forfeit your session.  In some instances it may be possible to re-arrange a session if we are able to “Re-sell” your session and subject to availability - but this is not guaranteed.

We offer discounted rates for private sessions should you book for a “term” of sessions.  This is  where we are reserving a session for you on a specific day & time each week.  This is your guaranteed slot of which no other clients can book.  You will therefore forfeit any missed sessions.

5. MEDICAL CONDITIONS
-
It is the client’s responsibility to inform Precision Pilates Studio of any existing medical conditions  / Injuries / Illnesses (complete all information on the Momence booking form) prior to taking part in a session.

-Clients must inform Precision Pilates Studio of any medical or personal changes via email, including pregnancy, surgery, illness etc as soon as they are aware of them.

-Clients must update Precision Pilates Studio of any change of address, contact and emergency contact details via Email.

Should you develop any known or suspected Covid-19 symptoms please consult your doctor and DO NOT attend your face to face class. Please wait until your doctor has given the all-clear or Precision Pilates Studio has confirmed that you can return to your face to face lessons. It may be possible to have access to our Video on Demand sessions to take part in at home at your own leisure.

All information information received is treated in confidence and with sensitivity

6. LATENESS
The studio doors will be locked at the start time of a class.  If you are late, we are under no obligation to unlock the door if the class / session /event has already started.  Please ensure that you arrive on time for your session to avoid disruption to other clients and the flow of the session or to avoid not being let in.

Should you be late and we do not allow you entry into the session you will NOT receive a credit or refund for your missed session.

If you are repeatedly late for a class / session we reserve the right to withdraw you from that class ongoing.

Mat Classes - There is a 10 minute turn around period between mat classes.  Please ensure that you do not arrive any earlier than 5 minutes before your class (as we do not have a reception area to wait in) and allow the clients in the previous class to leave before you enter.

Events - Please arrive 15 minutes before any special event (eg Gong / Restorative events) to give yourself time to settle into the room before the start.

Reformer Classes / Private sessions - These are run back to back.  Please wait outside the studio for the Teacher to let you in at the start of your session.

7. VALUABLES & PERSONAL BELONGING
All property left in our studios and all property (including bikes) left outside,  are left at your own risk. Precision Pilates Studio does NOT accept any responsibility for the loss or damage of any personal possessions. Please bring the minimal personal belongings to class and refrain from bringing big bags or coats. 

8. HEALTH, SAFETY & HYGIENE
By attending any of our classes / sessions / events participants agree to:
-stop doing an exercise if it isn't right or doesn’t “feel right” for their body or if it is causing discomfort and pain.
-work at their own pace and at the level that is suitable for their body / abilities.
-NOT attend a class / session  if under the influence of alcohol or illegal substances.
-NOT attend a class / session if feeling unwell prior to the class.
-take part at their own risk and take full responsibility for their own health & safety.
-Stay hydrated and bring a drink bottle to class / session (NOT GLASS and  ideally with a flip lid).
-NOT chew gum during a session.  

9. STUDIO ETIQUETTE
-
Turn mobile phones and smart watches OFF or to Airplane mode to avoid disruption to your practice, the teachers and other class participants.  Should you need to take an urgent phone call please inform the teacher prior to the start of the class.
-
Outer footwear MUST NOT be worn in the studios.
-Shoes, bags, coats and personal belongings must be stored in the shoe rack / baskets / area provided on entry.  
-Do not bring bags into the studio workout space where the Mats are.
-Clients MUST wear clean non-slip socks to class. Please change into these socks when you remove your outer shoes.
-We request that clients bring with them their own mat and props (including resistance band, pilates soft ball, resistance loops, head cushion) to their sessions.
-We ask that clients wipe down reformers and equipment after use with the anti-bacterial  spray provided.
-FOOD is NOT allowed in any studio at any time (unless for medical reasons)
-HOT DRINKS are NOT allowed in any studio at any time.
-Baby Prams / Buggies / Scooters / Bikes  are NOT to be brought into the studios at ANY time. 

10. TEACHERS
Precision Pilates Studio values the consistency of your lessons. However, changes to Teachers may occasionally be necessary due to illness, holidays, or training requirements. We aim to provide advance notice of such changes, though this may not always be feasible.

You may also notice trainee or student teachers observing or teaching parts of your class as a part of their training and our teacher mentoring / development programme. Our teachers have completed rigorous teacher training, but some may still be accumulating teaching hours before they complete their examinations.

We kindly ask that you treat all our teaching staff with respect. Should you have any feedback or concerns, please direct them to the studio owner via email.

11. CLASS OBSERVATION
To maintain quality control and ensure consistency in our teaching practices across all classes, senior members of the Precision Pilates team may conduct class observations on an ad hoc basis. Such "spot checks" may occur at any time and without prior notification. Additionally, these observations may be part of our staff mentoring program, during which instructors may occasionally co-teach a class. Precision Pilates is not obligated to inform clients of such activities.

12. CLOTHING
Please be respectful of other clients and teachers within your class when choosing what clothing to wear.
We ask that…
-ladies do not wear low cut tops.
-you wear underwear underneath tight leggings / shorts.
-Ladies wear a good fitting sports bra under their top.
-those wearing loose fitting shorts, please ensure that you have appropriate underwear or tight fitting shorts underneath them.
-you are mindful of leggings becoming see through.  Especially when you bend over or squat!
-you wear socks for hygiene purposes.

13. HANDS ON CORRECTION
All of our sessions are movement-based health practices and do involve close physical contact.  Our teachers offer Hands On Correction to ensure correct safe positioning / posture / alignment.  We respect your wishes if you do NOT agree to Hands on Correction and you need to notify your teacher at the beginning of class or email us in advance to notify us.

14. PRE & POST-NATAL
New or returning clients must advise us if they are pregnant or have recently had a baby.
Please email us with any pre/post-natal enquiries so we can guide you to the correct class.

Due to space, any babies attending “mother and baby” classes must be carried in a sling. No buggies are allowed in the studio for class due to space reasons.

15. FILMING / PHOTOGRAPHY
Precision Pilates have a ‘No Filming During Class' policy for clients.

With the teachers agreement, you can take pictures of the studio before or after class (excluding any other clients, unless you have their individual permission).

Filming during class is strictly forbidden.  This can be distracting for the teachers, unfair on other clients and an infringement on their personal privacy. Anyone who is filming will be asked to leave the studio.

If you wish to film yourself doing pilates for social media or any other purposes, please get in touch with us and you can book in a private session with one of our teachers and film what you would like to film during that session or you can do this at the start or end of the session with no other clients in shot.

From time to time, Precision Pilates Teachers may film or take photos during a class / session for social media purposes, however we will ensure that there is no disruption to the teaching of the class / session.  We will not include client names unless permission has been sought.  We reserve the right to use any of our photography in our advertising or social media.  Should a client NOT agree to appear in any images / videos we ask that you email us for our records entitled “Non Consent Videos / Photos”.

16. ADVERSE WEATHER
Precision Pilates Studio are under no obligation to refund sessions that may be missed due to local adverse weather (including flooding / snow / Ice). We regret that we are unable to offer a refund / Credit or rescheduling of lessons in the event of adverse conditions local to yourselves preventing you from attending a scheduled class. 
Should we cancel a session due to adverse weather then you will receive a credit back onto your Momence Account for the booked session.

17. WITHDRAWAL OF SERVICE
Precision Pilates Studio may, at their own discretion, withhold the right to refuse entry to a customer to any session / event  if it is felt that the customer’s behaviour is unreasonable, rude, inappropriate,  threatening or if it is felt that the customer is under the influence of any drugs, substances or alcohol. In this event no refund / credit will be given. 

18. PROMOTIONAL OFFERS
From time to time we may run various promotions, prize draws and other offers.  We may implement separate terms and conditions in respect of any such Promotion, and will advise you accordingly where this is the case.  We reserve the right to end any promotion without warning at any time.

19. SESSION FEE CHANGES
We reserve the right to review and change Session fees periodically. The prices will be reflected on purchase of a new “drop in”, "class pass” or  “appointment pass”. All existing  “drop in”, "class pass” or  “appointment pass” credits are valid until expiry.

20. DATA PROTECTION and GDPR
In order to book a class with Precision Pilates Studio, you must register your details on our Momence booking system at the time of booking. These will include your name, telephone number, email address, home address, emergency contact details, DOB, and any relevant conditions that could affect you whilst in our care.

We will not share this data with any other third party other than those required to process your booking or where we are legally required to do so.  
All private clients are required to complete our Medical Form which will be emailed to you prior to the start of your session.  Your teacher will have access to this in order to ensure that he / she is offering you a session that is safe and effective for you and your body.

You can choose to unsubscribe to marketing emails at any time. Although this is our main way of communicating with our clients and informing you of important class changes, updates, cancellations so we advise that you “opt in” for our marketing and transactional emails.

Your name will be displayed on our class registers in order to be used by our teachers to help tailor our classes to the individual needs of our customers. 

Any teachers that are NO LONGER working for Precision Pilates Studio DO NOT have the right to make contact with you in any way and we DO NOT give them permission to keep or note any of your personal contact information..  Please notify the studio owner if this has happened via email.

21. EXCLUSION OF LIABILITY
We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death and personal injury.
While we take every care to ensure safe practice, in the absence of any proven negligence, lack of due diligence or breach of duty by the Teacher(s) or Precision Pilates Studio, all participants take part at their own risk. Precision Pilates studio, teachers and freelance staff or those hiring the premises, accepts no liability whatsoever for any injury or illness you may incur through attending and taking a class / session at any of our studios.

22. FORCE MAJEURE
We shall not be liable to you or deemed to be in breach of these Terms by reason of any delay in performing or any failure to perform any of our obligations in relation to these Terms if the delay was due to any cause beyond our reasonable control, including, but not limited to, acts of god, terrorism, explosion, flood, storm, fire, war or threat of war, riot, sabotage, insurrection, civil disturbance, restrictions, regulations, by-laws, prohibitions or measures of any kind on the part of any government, parliamentary, or local authority, strikes, lockouts or other industrial action or trade disputes (whether involving our employees or those of any third party), I.T. system failures, viruses, difficulties in obtaining raw materials, labour , fuel, parts or machinery, power failure or breakdown in machinery.

23. CHANGES TO OUR T&Cs
From time to time we may update these terms and conditions and, in this instance, will notify existing customers who are currently booked onto our classes via our Momence booking system.
